About the opportunity

We are looking for a Senior Workplace Solutions Manager (all genders) to join the Workplace Solutions team on our journey to always deliver amazing experiences.

As a member of the Workplace team overseeing corporate office space – this position will primarily manage all property and facility activity in Berlin. This role combines facilities operations (hard and soft services), project management skills and a commitment to internal customer relationship management. 

We seek a senior manager who demonstrates proven success in building and running a team in a fast paced organization, delivering complex projects and programs with demanding timelines and actively supporting day-to-day operations. The successful candidate must operate as a true partner to other teams like Finance, HR, IT, and other functional areas and establish highly integrated relationships with vendor partners. They must be comfortable operating at both the strategic and tactical levels, simultaneously acting as a service ambassador, internal analyst, solutions architect and implementer, experienced in multinational / multicultural corporate environments. Having a passion for and in-depth knowledge of Property Management, Facilities Management Operations is mandatory.

The optimal candidate is an experienced, vibrant, and engaging professional who understands the nuances of being an approachable but highly knowledgeable partner for internals and external vendor services – fostering solid internal and external relationships.

Your mission:

  • Managing Delivery Heroes Berlin Campus daily operations including projects and strategic initiatives for the portfolio, ensuring site functionality and employee satisfaction.

  • Creating and managing Preventative Planned Maintenance schedules and Quality Compliance.

  • Collecting & monitoring the Operation- & Maintenance Manual, warranties, Asset and Life Cycle Registers, or similar which is required to ensure maintenance is delivered on time.

  • Ensuring compliance with policies and procedures including statutory compliance and Standard Operating Procedures (SOPs).

  • Managing budget and spend ensuring alignment with policies and procedures, including creating Purchase Orders, processing invoices, managing service charges, rates & rent.

  • Delivery or delegation of service requests (JIRA ticketing) to ensure all requests are actioned within the agreed timeframe meeting Key Performance Indicators and Service Level Agreements, monitoring works and conducting audits.

  • Managing contracts and developing procurement and contract documentation. Actively monitoring contract performance and risks, and identifying appropriate strategies to achieve contract outcomes.

  • Ensuring timely project solutions are made, risks are identified, and lessons learned, documented and shared.

  • Building relationships with both internal and external customers including the landlord, external partners and vendors.

  • Providing leadership, direction and mentoring the team and vendors onsite to promote engagement and excellent customer experience delivery.

  • Managing the receptionists (soft services) & the Facilities team (hard services), managing teamʼs objectives, goals and growth (Team Lead).


What you need to be successful

 

  • You have 5+ years direct Facilities Management experience delivering combined hard and soft services.

  • Very good Understanding of vendor sourcing, management and contracting, sustainable building systems, maintenance concepts, customer service and service on demand concepts.

  • You have experience managing a team / people management skills.

  • You have knowledge of proper methods, techniques, materials, tools, and equipment used to perform general building operations and service coordination; basic knowledge of safety procedures and regulations. Conduct regular inspections, patrols and safety checks to identify and address maintenance needs; ensure compliance with standards & regulations.

  • Creating, monitoring & updating of Operation and Maintenance Manuals, Warranties, Asset and Life Cycle Registers.

  • You have experience in Project Management.

  • You can meet tight deadlines and work efficiently & collaboratively as part of a team to solve problems with professionalism & service focused approach.

  • You have excellent communication skills in both English and German (written and verbal form).

  • You have strong analytical skills and strive for excellence in what you do and share ideas for improvement.

  • You are proficient with Microsoft or Google Suite, and you have further experience with JIRA (or equivalent ticketing system), SAP Ariba & Smartsheet.

  • Managing maintenance & supplier contracts and other related technical documentation. Assist in the procurement of vendors and services as required.

Nice to have:

  • You have experience using a Computerized Maintenance Management system for managing Preventative Planned Maintenance.
